POSITION SUMMARY:

We’re seeking a polished, friendly, and detail-oriented Administrative Assistant / Receptionist to welcome clients and support our team during the busiest time of the year. This is a highly visible position in our Maitland office, and your professionalism will shape the experience of every client who walks through our doors.

In this seasonal role, you will greet guests, answer phone calls, prepare documents, and support the daily flow of tax-season operations. If you take pride in delivering warm hospitality, staying organized, and keeping an office running smoothly, you’ll thrive here.

This position runs January through mid-April , with full-time hours and Saturday work during our peak period.

RESPONSIBILITIES:

Client Experience

  • Greet clients warmly and by name, creating a professional and welcoming atmosphere
  • Offer beverages and hospitality while clients wait
  • Maintain a clean, organized reception area that reflects our company standards

Administrative Support

  • Answer and route incoming calls with professionalism and clarity
  • Prepare client correspondence and documents
  • Scan, file, sort mail, and maintain accurate client records
  • Assist advisors and staff with daily administrative needs

Office Operations

  • Support appointment flow and check-ins during busy tax season
  • Maintain confidentiality of all client information
  • Help ensure the office remains tidy, organized, and fully stocked

Team Collaboration

  • Provide dependable, high-quality support to advisors and tax preparers
  • Follow through on tasks independently and with attention to detail
  • Contribute to a positive, client-focused team culture

QUALIFICATIONS:

  • 1+ year of experience in reception, customer service, or administrative support
  • Warm, friendly communication skills — in person and over the phone
  • Strong attention to detail and accuracy in all documentation
  • Highly organized, reliable, and comfortable managing multiple tasks
  • Professional demeanor and appearance
  • Proficient with computers, scanners, and basic office software
  • Must be available for the entire tax season (January–mid-April)

COMPENSATION & BENEFITS:

Pay: $18.00 - $20.00 hourly

  • Paid training provided

Schedule:

  • Monday–Friday: 8:30am–5:30pm (January - April)
